Introduction:
The reason for writing this paper is to propose feasible recommendations and suggestions to the executive members and the management of the TPA organization in order to improve the usage trend of the newly adopted knowledge management system Share Point Project. It is critical for the management of the company that the efficiency and effectiveness in the knowledge management and sharing is achieved with in the business structures of the organization in order to effectively and aggressively promote in the other government agencies of the state.
It is critical for the management of the group to effectively implement the knowledge management system with in the state organizations because it is the sole reason for its creation by the governor of the state.
Problem statement of the company:
“The primary problem of the management of the company is to effectively adopt and implement the Share Point Project of knowledge management system with in the organizational structure and culture as currently roughly only 10 to 12% of the employees of the company are using this system to share their knowledge and experience regarding their work and projects”.
There are several secondary issues that contribute to the fact that the system is not perfectly implemented and adopted with in the organizational structure and workings.Moreover, these challenges within the organizational structure also act as barriers in effectively promoting the communication and co-ordination among all the three departments of the organization.
Some of the most critical issues that contribute to the problem at hand are the undefined procedures and standards along with the clarity of the necessity of sharing the knowledge through this newly adopted system of the organization. The other most critical issue is the organizational culture and the lack of the senior managers of all the three departments of the organization to enforce the knowledge management system within each of their respective domains as it is evident from the percentage of employee of the company who have adopted to this new knowledge management system of the company. The unclear thinking of the employees of the company is also a contributor in this as it is not clearly conveyed to them that how helpful this new knowledge management system is for they themselves.
The presence of other unnecessary supporting tools for the knowledge management system is also a problem as they undermine the importance of the Share Point Project because the employees of the company are still using these systems due to their historical affiliation and convenience with these knowledge management tools and systems. All these factors are the real contributors in the issue at the hand of the management of the TPA and addressing them is critical for the success of the knowledge and information sharing program of the governor of the state.
Suggestions for the executives of the organization:
There are several recommendations for the management of the company based upon the realization and in-depth study and analysis of the issues and challenges at hand of the management of the company in effectively implementing the new knowledge management system with in the organization. These recommendations and suggestions for the management of the organization are based upon three dimensions and criteria of the culture and operations of the organization including the different department and structures of the entity. These three dimensions of the solution for the problem that the organization is facing are employee based (including the senior management of the company), the policies and control of the management of the company and finally the knowledge management system of the organization itself........................
