Project Management Report Case Study Solution
BREAKDOWN OF FAULTS FROM INDUBEST:
Indubest is the company which won the bid and resulted in being selected to take the project of producing the particular item i.e. millennium valves from Point P. As consultants of project management associates, we are going to discuss what information we gathered regarding blunders that Indubest did which cause them to not live up to expectations.
Indubest performed slip one after another. It seemed that from the very beginning, Indubest was in total rush and missed out almost all foremost steps before accepting such challenging work. It clearly showed up Indubest intention that they just want to win over other bidders without knowing and calculating the essential measures that they should have done before sending proposal.
Being consultants of Point P, it is the essential part of our deliverable to list down and show the faults of Indubest company to Point P so that Point P should look after and avoid for these noted mistakes in any company for their future projects if they go for outsourcing any similar nature of project.
Proposal made in Absence of Engineers:
Making proposal in against of RFP is the very first and most essential step for any bid forwarder. During making a full-fledged proposal, a team of salient persons sit together in which at least one or two representative from each concerned department must present and involve before finalizing the proposal. What Indubest did is absolute opposite of this. Indubest proposal making team only consisted of sales and marketing persons. Since this the project primarily based on manufacturing, the project’s RFP should must presented to engineering team and ask their reviews because eventually they are the one who prepare the particular item. They have better knowledge what total materials will require in order to manufacture this particular item, in how much quantity and what maximum time it will take in order to finish it order completely. This was the first blunder Indubest did which later caused them to fail.
No Past Industrial Manufacturing Experience:
Indubest did misapprehension by accepting such an order in which they don’t have any prior knowledge. They initially thought that they will manufacture the right item in its assigned time keeping its quality maximum and manufacturing time minimum. They totally ignored the fact that don’t have this particular item’s manufacturing experience and based on only assumption they take such a challenging order.
Underestimation of Manufacturing Time and Manufacturing Cost:
The finishing time and cost are the two prominent deliverables outsourcing company wants from the manufacturing company. Time and Overall Cost of the project are not just presented randomly or just based on previous different nature of project. Instead to avoid any conflict during the middle phase of manufacturing the project, finish time and cost are keenly and precisely calculated before or at the time of sending proposal. In our case Indubest didn’t come up with any plan and instead of calculating the finish time and cost of the project in beginning they gave some minimum figures to Point P based on their assumption due to which they suffer at the middle phase of the project. Indubest realized that they have quoted wrong and miscalculated deadline time and cost of the project which eventually caused them to defame.
No Market Research:
This is probably the most dreadful mistake Indubest did. Just to win very other bidders, Indubest made a suicidal attempt by just presenting the lowest money they thought (based only on their assumption) and not getting the correct current price of valve by surveying the market. This hurt them when later they came to know that the price they quoted is looking less considering the maximum quality and innovation Point P wanted.
Prototype Description was vague:
This was the moment Point P came to know that Indubest is not going in the right direction and cannot be able to handover the outcome they initially committed. The mistake was that the Indubest didn’t clarify the details of prototype in their proposal at the time of sending proposal to Point P. This miscommunication and lack of complete details of prototype in proposal lead Point P to assume that Prototype would be a virtual model of the final product which in real it was not. While the Indubest was in thought that they would have only give a simple basic model of valve.
No Right Tools and No Backup Plan:
After somehow making the correct prototype of millennium valve as per the expectation of Point P, during the middle phase of manufacturing, the Indubest production team faced absence of proper required tools that were needed to manufacture the right valve in right quantity. While apart from all the blunders that Indubest did, there is one more blunder it made and it was: not having any plan B or C. It almost never happens that a plan goes according to its initial claim. As time passes during the production the changes and amendments in the set time and cost varies to some extent. To tackle that situation professional approach is to have plan B or even plan C if initial plan looking to fail.
CONCLUSIONS:
Point P Company’s President Ulrich Fitch is our client and it’s our duty to lessen or reduce the complication of the projects and give then new thoughts for the betterment of the Point P Company and to check the work which is under process. The three faults from the PPM is found out to be a faulty RFP, A faulty selection of company and a faulty contract. The faults from the service providing company are found out to be Proposal made in Absence of Engineers, No past industrial manufacturing experience, Underestimation of manufacturing time and manufacturing cost, No market research, Prototype description was vague and No right tools and No backup plan. The further strategy for the company is mentioned in the section below, under the heading recommendations.
RECOMMENDATIONS:
As the pre installed valve works good but there is a need of the best valves for millennium for the reduction of cost and to produce the high value products. The following are the staring strategies that should be adopt by the Point P Company.
Starting Strategies for Point P Company:
- At First,Point P Company’s President should make a team of such members who have some related experience regards to this particular project of valves tank. Because, the work is already been done to 90% level the only thing to do is just to think about the project that how it will works and then implement it in the project.
- The main job should done by the President of Point P Company ‘Ulrich Fitch’ is to motivate the members of the team that they can do by their own and also introduce the training unit for the members of the teams who are appointed in this project because Point P company should don’t take any risk in this last stages of project.
- The president of Point P Company ‘Ulrich Fitch’ should split the project in to different areas and thereby makes a team in which each team should do the particular area of work or problems this is the only way of reducing efforts and to perform a work into a systematic way.
- The first team should look and justify the project that it should be made/done on the market requirements because the project is too competitive in the industries.
- That main and the most important part of this project is that the project should be decent in design and it should be easily fitted in the required place and having those equipment which are of low cost or not too much high cost and can easily be replace and can available on the required time and having a bypass option for the production and also the product should be user friendly. This most important job should be done by the second team.
- The third team should check and measure the valve tank that it maintain the required amount of water level with pressure changes or not. If it meets the criteria then keep searching the better, innovative and efficient equipment’s and if not then fourth team should suggest the best idea or tactics and strategies to attain the main results.
- The fourth team should suggest the standard methods to the first two teams that how they can do these works this will possibly work in generating new items for the project that will help in the completion of this work.
- The last team should search out the ways for the possible outcomes of these particular jobs performed by these teams and also have a motivational and leadership skills. Which will be beneficial for the completion of this project of valves tank.
These are the recommendations for the Point P Company to achieve the best result in the valve tank project. If the company attain the maximum outcome and produce the number of valve in market then became the leading company in the industrial sector........
